Wyndham Hotels & Resorts is now seeking a Executive Assistant to join our team at the Parsippany - 22 Sylvan Way location in ParsippanyNew Jersey.

Job Summary

The Executive Assistant is responsible for providing administrative support to EVP & CIO for Information Technology and his/her directs (this currently include 9 Vice Presidents or above).  Core duties include managing schedules, travel arrangements, expenses, meeting coordination, presentation preparation and special projects as needed.  The Executive Assistant represents the EVP & CIO office to both internal and external customers in person, online and via phone. The successful candidate must be highly organized and detail oriented with a high degree of integrity, interpersonal and communication skills.  This is the only EA for a team of over 2,000 associates and contractors.

Education & Experience

  • Minimum of 5+ years administrative experience supporting a VP level executive or higher.
  • Bachelor’s Degree or equivalent experience
  • Must be comfortable working independently with minimal direction, as well as within a team.

General Responsibilities

  • Coordination of meetings and maintain calendar; ascertain which events require EVP’s presence.
  • Interaction with senior and executive management, customers, vendors and visitors.
  • Coordination of incoming/outgoing phone calls, arrange “callbacks” to protect EVP’s time and route calls elsewhere as needed.
  • Plan and execute team building (Halloween, Holiday, dinners, etc) and charity events (such as Wish Day).
  • Coordination of travel arrangements within company guidelines and management of itineraries.
  • Assist in coordination of EVP approvals for contracts, agreements, internal announcements, communication plans, newsletters, etc.
  • Maintain confidentiality in all aspects of client, staff and vendor information.
  • Maintain department files, lists, archives, etc.
  • Assist with maintenance of the organization’s website.
  • Responsible for ensuring timely response to departmental inquiries.
  • Responsible for processing timely and accurate travel & expense reports.
  • Perform general administrative functions to include, but not limited to, light bookkeeping, copying, faxing, mailing and filing.

  • Excellent verbal & written communication skills with the ability to interact effectively and professionally with management, colleagues, consultants and vendors.
  • Strong initiative, organizational abilities, attention to detail and accuracy.
  • Excellent problem-solving and follow through skills to meet deadlines and shifting priorities.
  • Must be able to prioritize tasks as to urgency and detail is key for support of senior level executives.
  • Strong PC skills  (MS Outlook, Word, Excel, PowerPoint)
  • Assist with coordination and maintenance of records for staff (new hire/transfers/off roll), office space, telephones, security badge, etc.
  • Create and modify documents such as invoices, reports, memos, letters and agendas.
  • May conduct research, compile data and prepare papers for consideration and presentation to the leadership and staff.
