The Role
Manage day-to-day operations of the Document Service Center, ensuring processes are in compliance with Wyndham’s Document Management Policies and Procedures, including but not limited to, the classification, storage, retrieval, and proper disposal of physical and electronic records in accordance with company policies, legal requirements, and industry standards. This role plays a key part in ensuring that all documentation is accurate, secure, accessible, and maintained in compliance with applicable records retention schedules and confidentiality guidelines.
What you'll do
Serve as the global system administrator for the electronic document management system (EDMS), including user access control, process document uploads, and configuring document types or templates:
- Ensure new users receive the necessary access for their roles, removing users access when required, monitor Service Desk tickets related to EDMS.
- Train staff on records management policies, procedures, and systems.
- Maintain, upload, and oversee the accurate processing of executed amendments, agreements, notices, etc. in EDMS.
- Monitor and resolve service desk tickets or system issues related to system access and document control.
- Validate all scanned documents to ensure content is correct.
- Responsible for the production of reporting of system transactions.
Responsible for managing document retrieval, retention, and disposal processes while ensuring compliance, and supporting audits.
- Respond to document retrieval requests and fulfill information audits or legal discovery requirements
- Coordinate off-site storage and retrieval of archived records, as needed
- Ensure proper disposal of records in accordance with retention schedules and secure destruction protocols
- Provide timely and accurate documentation to support internal and external audits, ensuring adherence to SOX policies and procedures
- Maintain confidentiality and safeguard sensitive and proprietary information
Oversee end-to-end relationship management with the EDMS vendor, ensuring effective collaboration, system performance, and alignment with organizational goals:
- Serve as the primary point of contact between WHG and the EDMS vendor.
- Schedule regular check-ins, review meetings, and strategic alignment sessions.
- Ensure timely escalation and resolution of issues and system enhancements.
You'll be successful if you have
- Demonstrates strong self-discipline and exceptional attention to detail.
- Familiarity with document management systems (e.g., SharePoint, Salesforce, etc.).
- Proficient in Microsoft Office Suite and other relevant software.
- Understanding of document retention policies, legal requirements, and data privacy regulations.
- Highly organized, with a strong focus on accuracy and personal accountability.
- Ability to manage multiple tasks and prioritize effectively.
- Has demonstrated sense of urgency about job tasks.
Required Qualifications/Experience
- Associate's or Bachelor's degree in Business Administration, Library Science, Information Management, or related field preferred. Certified Records Manager (CRM) is a plus.
- 2+ years of experience in document or records management, preferably in a regulated or highly confidential environment.
- Experience with document scanning, imaging systems, or records digitization projects.

Compensation & Benefits
For U.S. based positions only, the expected pay range for this position is $88,000 - $100,000 annually.
Wyndham Hotels & Resorts carefully considers a wide range of factors when determining compensation such as work location, background, experience, and performance. Compensation decisions are dependent on the facts and circumstances of each case.
In addition to the base pay, this role is eligible to receive an incentive payment pursuant to the Annual Incentive Plan with a 15% annual target, subject to the terms of the Plan.
