Wyndham is now seeking a Group, Catering & Reservation Services Manager to join our team at the Wyndham Pittsburgh Uni Center location in PittsburghPennsylvania.

Job Summary

The Group, Catering, Reservations Services Manager will be responsible for detailing, planning and managing day meetings and group room blocks as well as developing accounts and business opportunities.  Additionally, the GCR Services Manager is responsible for handling reservations, inquiries and cancellations in an attentive, courteous and efficient manner.  

Education & Experience

  • At least 3 years of progressive experience in a to hotel or related field preferred
  • High School diploma or equivalent required 
  • College coursework in a related field helpful
  • Computer skills required

Physical Requirements

  • Long hours sometimes required.
  • Light work - Exerting up to 40 pounds of force occasionally, and/or up to 20 pounds of force frequently or constantly to lift, carry, push, pull or otherwise move objects.

  • Must be able to effectively communicate both verbally and written with all level of employees and guests in an attentive, friendly, courteous and service oriented manner.
  • Must be effective at listening to, understanding, and clarifying concerns raised by employees and guests.
  • Must be able to multitask and prioritize departmental functions to meet deadlines.
  • Must work well in stressful, high pressure situations
  • Maintain regular attendance in compliance with Wyndham Hotels & Resorts Standards, as required by scheduling, which will vary according to the needs of the hotel.
  • Maintain high standards of personal appearance and grooming, which include wearing nametags.
  • Comply with Wyndham Hotels & Resorts Standards and regulations to encourage safe and efficient hotel operations..
  • Must be effective in handling problems, including anticipating, preventing, identifying and solving problems as necessary.
  • Must be able to understand and evaluate complex information, data, etc. from various sources to meet appropriate objectives.
  • Must be able to show initiative, including anticipating guest or operational needs
  • Perform other duties as requested by management.

Fundamental Requirements

  • Plans and coordinates details for meetings with clients
  • Complete accurate BEO's, upselling food, beverage, room rental, recreation, special amenities and technology - distribute to operational departments in a timely manner
  • Complete event resumes and distribute to operational departments
  • Communicate all changes on Event Orders
  • Act as on-site contact for day meetings and groups
  • Attend weekly resume meeting, training programs and others as designated
  • Provide feedback to Director of Sales/Marketing relating to guest comments, industry news, observations
  • Follow up with client at the end of each meeting
  • Assist with and complete special projects as assigned
  • Hold pre-con meetings with clients and operations as needed
  • Produce invoices and event tickets for clients
  • Answer all incoming calls promptly and attentively
  • Book group and transient room reservations while focusing on maximizing room revenue
  • Enter reservations in computer
  • Maintain accurate files and reports
  • Monitor daily sales activity; manage room block pick-up and cut-off dates
  • Process reservation links and send reservation confirmations
  • Assist with processing travel agent commission as requested
