Wyndham is now seeking a Group Reservations Coordinator to join our team at the Wyndham San Diego on the Bay location in San DiegoCalifornia.

Job Summary

The Group Reservations Coordinator is responsible for handling group reservations and related functions with multiple in house departments, meeting planners, group contacts and other affiliates. They are to uphold contractual obligations between the hotel and the group in order to meet the hotel’s financial goals. They must be proficient in all areas of the reservation process and have basic knowledge of front desk operations. They will also assist with transient reservations when needed. The coordinator must also be able to multitask, prioritize, and work in a face paced environment. 

Education & Experience

  • High School diploma or equivalent required and/or experience in a hotel or a related field preferred.
  • At least one year of progressive experience in a hotel or related field preferred.
  • College course work in related field helpful.
  • Computer knowledge/skills required.
  • Excellent organizational skills, flexibility.
  • Experience with hotel PMS systems and operational proficiency.
  • Excellent interpersonal skills. Superior oral/written communication skills; ability to interact successfully with all levels.
  • Excellent telephone etiquette.

Physical Requirements

  • Flexible and long hours sometimes required.
  • Sedentary work – Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.

  • Must be able to effectively communicate both verbally and written, with all level of employees and guests in an attentive, friendly, courteous and service oriented manner.
  • May be required to work weekends depending on hotel business needs.
  • Must be effective at listening to, understanding, and clarifying concerns raised by employees and guests.
  • Must be able to multitask and prioritize departmental functions to meet deadlines.
  • Attend all hotel required meetings and trainings.
  • Maintain regular attendance in compliance with Wyndham Hotel Group Standards, as required by scheduling, which will vary according to the needs of the hotel.
  • Maintain high standards of personal appearance and grooming, which includes wearing the proper uniform and nametag.
  • Comply with Wyndham Hotel Group Standards and regulations to encourage safe and efficient hotel operations.
  • Maximize efforts towards productivity, identify problem areas and assist in implementing solutions.
  • Must be effective in handling problems, including anticipating, preventing, identifying and solving problems as necessary.
  • Must be able to understand and apply complex information, data, etc. from various sources to meet appropriate objectives.
  • Must be able to maintain confidentiality of information.
  • Must be able to show initiative, including anticipating guest or operational needs.
  • Must have demonstrated ability to use multiple computer programs of varying levels of complexity.
  • Perform other duties as requested by management.
     

Fundamental Requirements

⦁    Answer all incoming calls and emails promptly, in an attentive, courteous and efficient manner.
⦁    Book group room reservations while focusing on maximizing room revenue and average rate using standard rate quoting scenario at all times.  Up sell rooms when possible.
⦁    Enter reservations into the computer according to standard operating procedures and keep detailed and organized files regarding all groups. 
⦁    Collaborate with meeting contact and multiple in house departments to communicate VIP guests and group needs.
⦁    Maintain availability calendar and group room inventory to meet reservation sales goals. 
⦁    Maintain ownership of group blocks, including pick up numbers, billing instructions, and contractual concessions.

⦁    Recommend contract addendums as necessary and explain new obligations clearly.
⦁    Monitor daily sales activity and be alert of group status and possible problem situations.
⦁    Manage no-show and cancellation revenue daily, and close any open balance folios in regards to group reservations.
⦁    Process and transfer advance deposits for group rooms if necessary.
⦁    Conducts outside the block audits and assists with processing group commissions as requested.
⦁    Assist with leisure reservation inquires 
⦁    Additional responsibilities and duties based on business demands
